IT & Systems Manager (NetSuite / Shopify / AI Automation)

Brussels, Brussels-Capital, Belgium · Full-time · Mid-Senior level · Posted

About the role

About Hyve Hyve (www.hyve.promo) is a B2B promotional products platform serving corporate buyers across Asia-Pacific — Singapore, Hong Kong, Malaysia, Indonesia, the Philippines, Taiwan, Thailand, and Vietnam — with branded merchandise: drinkware, bags, apparel, headwear, electronics, and more. We hold deep inventory, decorate in-house, and ship cross-border fast, with duties and taxes handled up front so buyers get a landed price at checkout. We're building the digital-first merch platform for Asia. Right now that means relaunching our Shopify Plus store across eight markets, standing up NetSuite as our ERP and system of record, connecting HubSpot for sales, and building a B2B distributor portal on top. We're looking for an in-house IT & Systems Manager to own all of Hyve's technology long-term. The Role You own Hyve's technology end to end — the systems that run the business, the integrations that connect them, and the everyday IT that keeps the team running. Our core stack is NetSuite (ERP), Shopify Plus (storefront + B2B), HubSpot (CRM), and Airwallex (payments), tied together with integrations to shipping carriers, suppliers, and customers. The rebuild is currently led by a contract project manager working with external developers. This is the permanent seat that takes the wheel as the build stabilizes: you inherit the architecture and integrations, keep everything running, and steadily make the business run smarter. We're a lean team, and we want this person to be AI-native. A big part of the job is spotting where a workflow can be automated, where a small internal tool would save the team hours, and where a new AI product genuinely helps — then building or directing the build. If you already use Claude Code, Cursor, n8n, Zapier, or similar to ship working tools quickly, you'll feel at home here. You won't do all the development yourself. You'll manage and work alongside our dev partners and consultants, translating business needs into clearly scoped technical work and holding delivery to standard. What You'll Do Own the technology stack Take overall responsibility for Hyve's systems: NetSuite, Shopify Plus (storefront + B2B portal), HubSpot, Airwallex, email, and the day-to-day tools the team relies on Keep systems stable, available, and well-administered; plan maintenance and manage SaaS and vendor relationships and renewals Be the in-house answer to "is the technology working?" Integrations and data Own the integration layer between NetSuite and Shopify — products, pricing, orders, inventory, and order status flowing correctly, with NetSuite as the system of record Build and maintain API integrations with third-party suppliers, customers, shipping carriers, and payment providers Implement and maintain promotional-products industry data standards (PromoStandards) for supplier and customer data exchange — product data, inventory, order status, and so on Safeguard data integrity across every system AI, automation, and internal tools Map the team's workflows across sales, customer service, production, shipping, and finance, and identify where automation or a lightweight internal tool removes manual work Build and maintain automations and small internal apps using modern AI-assisted development (Claude Code, Cursor, n8n, or similar) — quote generators, status notifications, reporting, data clean-up, and whatever else moves the needle Evaluate new AI tools and platforms, run small pilots, and roll out the ones that earn their place Help the wider team adopt AI tools in their daily work Manage delivery partners Coordinate external developers and consultants; set priorities, review work, and hold delivery to standard Translate between the business and the technical teams — turn what we need into clearly scoped work Take over architecture and integration ownership from the contract PM as the rebuild stabilizes IT and systems administration Manage email, user accounts, access and permissions, and core business tooling Handle day-to-day IT support, troubleshooting, and staff onboarding and offboarding Own backups, basic security, and documentation of how our systems are set up Reliability and roadmap Keep the lights on first — stability and data integrity come before new features Advise on technology decisions and the roadmap; flag risks early Document the stack so the business isn't dependent on any single person's memory What We're Looking For A strong systems generalist — you understand how ERP, e-commerce, CRM, and business tools fit together, and you can manage the whole picture Hands-on experience with an ERP (NetSuite strongly preferred) and an e-commerce platform (Shopify / Shopify Plus) Comfortable with APIs, integrations, and data flows between systems — you can reason about where data lives and how it moves Fluent with AI-assisted development and automation tools; you've shipped real automations or internal tools, not just experimented A builder's instinct for spotting repetitive work and removing it Able to manage developers and vendors, and translate business needs into technical work Solid IT and systems administration (email, accounts, access, tooling) Organized, reliable, and calm under pressure — the kind of person who keeps things running Clear communicator across both business and technical audiences Nice to Have NetSuite administration / SuiteScript; Shopify Plus B2B Familiarity with promotional-products data standards (PromoStandards) Experience with integration or middleware tools (Celigo, Boomi, n8n, or custom API work) Experience with cross-border e-commerce — multi-market pricing, duties and taxes, multi-currency payments Chinese-language ability — useful for working with our China-based team and suppliers Basic security, backup, and IT governance experience
